Med Rank Interactive (“Med Rank Interactive,” “we,” “us,” or “our”) provides digital marketing services to medical and dental practices and operates Med Rank Analytics, a reporting platform that shows practices how their marketing spend turns into new patients and revenue. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to medrankinteractive.com (the “Website”) and to Med Rank Analytics (the “Platform”).
1Information we collect
Information you give us. When you fill out a form, request a consultation or audit, apply for a job, or contact us, we collect what you provide, such as your name, practice name, email address, phone number, website, and message.
Information collected automatically on the Website. Like most websites, we use cookies and similar technologies to understand how visitors use the Website. This can include your IP address, browser and device type, pages visited, referring page, and approximate location. We use services such as Google Analytics for this purpose.
Platform account information. When a practice uses Med Rank Analytics, we collect the names, email addresses, and login details of the users the practice authorizes.
Google Ads data. If a practice connects a Google Ads account to the Platform, we access that account’s data through the Google Ads API, with permission the practice grants through Google’s sign-in and consent screen. See section 3.
Practice management system data. If a practice connects its practice management system (PMS), we receive data such as appointments, new patient records, referral or lead source, and production or revenue figures. See section 4.
2How we use information
We use information to:
- respond to inquiries and provide the services a practice has asked for;
- operate the Platform, including building reports and dashboards for the practice that owns the data;
- measure the return on a practice’s marketing by matching marketing activity to new patients and revenue;
- keep the Website and Platform secure, prevent fraud and abuse, and fix problems;
- improve the Website and our services; and
- comply with the law.
We do not sell personal information, and we do not use Google user data or patient data for advertising, to build advertising profiles, or for any purpose unrelated to providing the Platform to the practice that connected it.
3Google user data (Google Ads API)
Med Rank Analytics uses the Google Ads API. When a practice connects its Google Ads account, it signs in with Google and grants the Platform permission to access its Google Ads data.
What we access
Google Ads account information and reporting data, such as account names and IDs, campaigns, ad groups, keywords, ads, impressions, clicks, cost, conversions, and related performance metrics. We also store the authorization token Google issues, so the Platform can refresh reports without the practice signing in each time.
How we use it
Only to show the connected practice, and the Med Rank Interactive staff who manage its marketing, reports on its own advertising performance, and to calculate the return on its ad spend by comparing that performance with new patients and revenue.
How we share it
We do not sell Google user data. We do not share it with third parties except (a) service providers that host or operate the Platform on our behalf under confidentiality and security obligations, (b) where the practice directs us to, or (c) where required by law.
How we store and protect it
Google user data is transmitted over encrypted connections, stored encrypted, and accessible only to authorized personnel who need it to operate the Platform. Our staff do not read Google user data except with the practice’s permission, for security purposes, to comply with the law, or where the data has been aggregated and anonymized for internal operations.
Retention and deletion
We keep Google Ads data for as long as the practice’s Platform account is active. A practice can disconnect its Google Ads account at any time from within the Platform, or by removing Med Rank Analytics’ access at myaccount.google.com/permissions. When access is revoked or the account is closed, we stop retrieving new data and delete the stored authorization token and Google Ads data within 30 days, unless the law requires us to keep it longer. A practice may also ask us to delete its data sooner by emailing info@medrankinteractive.com.
Limited Use
Med Rank Analytics’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
4Practice management system data and patient information
Data from a practice’s PMS may include protected health information (“PHI”) as defined by HIPAA. When we handle PHI, we do so as a business associate of the practice, under a Business Associate Agreement, and only as that agreement and HIPAA allow.
- We use PMS data only to provide the Platform to the practice that connected it, primarily to attribute new patients and revenue to the marketing channels that produced them.
- We limit the PHI we receive to the minimum necessary for that purpose.
- We do not sell PHI, do not use it for our own marketing, and do not share it with Google or any advertising platform.
- PHI is encrypted in transit and at rest, and access is restricted to authorized personnel.
- When a practice ends its use of the Platform, we return or destroy its PMS data as its Business Associate Agreement requires.
If you are a patient, the practice you visit controls your health information. Please contact that practice to access, correct, or ask questions about your records. We will help the practice respond to your request.
7Data security
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including encryption, access controls, and regular updates to the systems we manage. No method of transmission or storage is completely secure, but we work to protect your information and will notify affected parties of a breach as the law requires.
8Data retention
We keep personal information only as long as needed for the purposes described in this policy, to meet our contractual obligations, or as the law requires. Retention of Google Ads data and PMS data is described in section 3 and section 4.
9Your choices and rights
You may ask to access, correct, or delete personal information we hold about you, or to stop receiving marketing email, by contacting info@medrankinteractive.com. Every marketing email includes an unsubscribe link. Depending on where you live, you may have additional rights under state law, and we will honor them as required.
10Children’s privacy
The Website and Platform are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13.
11Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and change the “Last updated” date. If a change materially affects how we use Google user data or patient data, we will notify the affected practices before it takes effect.
